Indigo Staff — PAIA Manual (Section 51, PAIA)

1. Introduction & Purpose

This manual has been compiled in compliance with Section 51 of the Promotion of Access to Information Act, No. 2 of 2000 (PAIA), as amended and informed by the Protection of Personal Information Act, No. 4 of 2013 (POPIA). Its purpose is to:

Assist any person requesting access to records held by Indigo Staff.

Describe the types of records we maintain and how requests for access can be made.

Outline the public’s rights under PAIA and POPIA.

4. Categories of Records Held

We maintain the following categories of records:

A. Recruitment & Employment-Related Records

CVs, job applications, interview notes, qualifications, references

Identity details, contact details, employment history, disciplinary records

Background checks, performance records, remuneration and benefits
B. General Corporate Records

Policies and procedures, correspondence, contracts, financial records

 

5. Voluntary Disclosure

Indigo Staff may, at its discretion, make certain records available without a formal request (e.g., procedures or privacy practices). Copies may incur a reproduction fee.

 

6. Request Procedure

As per Section 50(1) of PAIA, any natural or juristic person—South African or otherwise—may request access to records concerning themselves.
Process Overview:

Submit a written request (preferably via email) addressed to the Information Officer at info@indigostaff.co.za.

The request must clearly identify:

The records sought;

The requester’s interest or protected right necessitating access.

The Information Officer will consider and respond within 30 days, detailing access or refusal and any fees.
 

7. Fees

Reasonable fees, as prescribed by PAIA regulations, may apply—such as for reproduction or search time. The requester will be informed of any applicable fees in the response.

 

8. Grounds for Refusal

Access may be refused if disclosure would breach privacy rights, impair confidentiality, hinder governance, or contravene other statutory provisions. This is consistent with PAIA and POPIA provisions.
 

9. Internal Appeals & External Remedies

If your request is denied:

You may lodge an internal appeal to the Information Officer.

Should that fail, you may file a complaint with the Information Regulator or apply to court for relief.
